QuickBooks & Xero cleanup · Catch-up bookkeeping

Behind on your books? Get them clean and current.

Months of uncategorized transactions, accounts that won’t reconcile, a CPA asking questions you can’t answer. Kellcat reviews your file first, quotes the cleanup up front, then brings your books current so you can trust the numbers again.

Sound familiar?

Signs your books need a cleanup.

1Your bank balance and your books don’t match, and you’re not sure why.
2There’s a long list of uncategorized or “Ask My Accountant” transactions.
3You’re several months behind and tax season is coming.
4Your CPA keeps sending questions, or charged extra to fix the books.
5A lender or investor asked for financials you don’t trust.
6You switched bookkeepers or software and things got lost along the way.
What a cleanup fixes

What Kellcat usually finds in a messy QuickBooks file.

Most messy books have the same handful of problems. Each one makes your profit, your balance sheet or your tax numbers wrong, and each one gets found and fixed during the cleanup.

Duplicate bank-feed transactions

The same deposit or charge imported twice, often after a bank feed was reconnected, so income or expenses look bigger than they are.

Payments that never reach the bank

Customer payments sitting in Undeposited Funds (now “Payments to deposit”) and never matched to a deposit, so income can be counted twice.

Opening Balance Equity left open

Leftover amounts from the original setup or old adjustments that belong in other accounts.

Payouts booked after fees

Stripe, Square, Shopify or Airbnb deposits recorded as the net amount, which hides your full sales and the fees you paid.

Loan payments booked as expenses

The whole payment expensed instead of split into principal and interest, so expenses look too high and the loan balance never goes down.

Owner draws mixed with expenses

Personal spending and owner draws coded as business expenses, or business costs paid personally and never recorded.

Sales tax that doesn’t tie to your returns

Sales tax payable that doesn’t match what you filed. In Colorado home-rule cities, state and city tax often end up mixed in one account.

Payroll that doesn’t match

Wages recorded twice by the payroll app and the bank feed, or payroll tax liabilities that never clear.

Old uncleared items

Checks and deposits from long ago still showing as uncleared, so the reconciliations never truly balance.

What’s included

A cleanup with a clear scope and a clear finish line.

Every cleanup is different, so it starts with a look at your actual file. You get a written scope and a fixed quote before anything begins.

Free review of your file

Read-only access to QuickBooks Online or Xero, so you never share a password. Kellcat checks what’s right, what’s off, and how far behind the books are.

Written scope and quote

A proposal that lists what will be fixed, what isn’t included, and the one-time cleanup fee. Nothing starts until you sign.

Reconciliations

Every bank, credit card and loan account reconciled to its statements, so the balances in your books match reality.

Categories fixed

Transactions moved to the right accounts, and your chart of accounts tidied so reports make sense to you and your CPA.

Catch-up months

Missing months entered and reconciled until your books are current, whether you’re a few months or a few years behind.

A clean handoff

Clean reports for your CPA, plus a choice: keep the books clean with Kellcat each month, or hand them back in good shape.

Still on QuickBooks Desktop?

Intuit stopped selling QuickBooks Desktop Pro Plus, Premier Plus and Mac Plus to new US customers in 2024. Kellcat doesn’t clean up Desktop files, but can move your company to QuickBooks Online and clean up the books there, so you start fresh on software that’s still being updated.

★★★★★
“My books were a complete disaster. Brian from Kellcat helped me clean them up and also showed me which metrics I should be tracking. His knowledge of QuickBooks blew my mind. He showed me stuff I didn’t even know was possible. I would highly recommend working with him.”

Questions

QuickBooks cleanup questions.

How much does a QuickBooks cleanup cost?

Most cleanups start at $500 as a one-time fee. The final price depends on how many accounts you have, how many months are behind, and how much needs fixing. Kellcat reviews your file first, then quotes the cleanup in writing before any work begins.

How long does a cleanup take?

It depends on the size of the file and how quickly questions get answered. The timeline is included in your written proposal, so you know what to expect before you start.

What’s the difference between cleanup and catch-up bookkeeping?

Cleanup fixes books that exist but aren’t right: wrong categories, duplicates, accounts that won’t reconcile. Catch-up enters months that were never done. Many businesses need some of both, and both are covered in one quote.

Will a cleanup change tax returns I’ve already filed?

Kellcat checks your starting balances against your last filed return and doesn’t change closed years on its own. If something from a filed year looks wrong, it’s flagged for your CPA to decide how to handle it.

Can you clean up just one year?

Yes. Many cleanups cover only the current year, or the year your CPA needs. The starting balances are checked first so that year begins on solid ground.

Do you work in QuickBooks Desktop?

Kellcat doesn’t clean up QuickBooks Desktop files. If you’re still on Desktop, Kellcat can move your company to QuickBooks Online and clean up the books there.

Can you clean up Xero or Puzzle too?

Yes. Kellcat works in QuickBooks Online, Xero and Puzzle.

Can you clean up books for several LLCs?

Yes. Each LLC can have its own set of books, or several LLCs can be kept in one file with each entity tracked separately. The right setup depends on your situation and your CPA’s preference.

Do I have to switch to monthly bookkeeping after the cleanup?

No. You can take your clean books to your CPA or current bookkeeper. Many clients move into monthly bookkeeping so the books stay clean, but it’s your choice.

Will I need to share my password?

No. You invite Kellcat as your accountant in QuickBooks or Xero, so you never share a password, and you can remove access anytime.

Does Kellcat file my taxes?

No. Kellcat gets your books clean and tax-ready and works alongside your CPA, who prepares and files your returns.
