Free Books & Numbers Review
Small bookkeeping errors quietly turn into missed deductions, bigger CPA bills, and decisions made on the wrong numbers. A free Books & Numbers Review finds them first, in QuickBooks, Xero, or whatever system you use. Then it shows you what your top 6 numbers are really telling you.
“My books were a complete disaster… Brian from Kellcat helped me clean them up and he also showed me which metrics I should be tracking.”
Carlos · Real Estate, DenverWhy it matters
Most owners don’t find out until tax season or until a lender starts asking questions. By then, fixing it costs more.
Expenses coded to the wrong place, or never recorded, mean paying tax on money you didn’t keep.
When your CPA has to untangle the books at tax time, you pay tax-season rates for bookkeeping cleanup.
Lenders and investors want financials that hold up. Numbers that don’t add up slow down a loan, refinance, or sale.
Pricing, hiring, and buying the next property all depend on profit and cash you can actually trust.
A Books & Numbers Review costs you nothing and shows you exactly where you stand, before it costs you something.
Part 1 · Accuracy check
First, every area that affects whether your numbers are right is checked, account by account. Clean numbers come before insights.
Do your books match your bank and credit card statements, month by month?
Are transactions coded to the right accounts, so profit and deductions are accurate?
Loans, owner contributions and draws, undeposited funds, and balances that don’t add up.
Is your system set up for how your business or properties actually run?
Are the amounts you owe recorded correctly and cleared when paid?
Can your profit and loss and balance sheet be trusted for taxes, lenders, and decisions?
Part 2 · Your top 6 numbers
With the books checked, the review looks at the 6 numbers that matter most over the last 12 months: what’s working, what needs attention, and what it’s worth in dollars. You’ll see them in a live dashboard built from your own data.
01
Your monthly sales over the past year, including your strongest and slowest months.
02
How much of every dollar you actually keep, and which months kept the most.
03
Which services, products, or properties earn the most, and which quietly cost you.
04
Your month-end cash balance, and where things got tight.
05
Unpaid invoices by age (current, 30, 60, and 90+ days) and how much cash is stuck.
06
Your spending trend, including your leanest and heaviest months.
For each number, you’ll see:

What you get
What the review doesn’t include: fixing the books. The review finds and explains every issue. Cleanup is a separate project, quoted only if you want Kellcat’s help, or your current bookkeeper can work from the report.

Common questions
Yes. No card and no obligation. The review shows you exactly where your books stand and what your numbers are telling you. If you’d like help, you’ll get a proposal. Whether you use it is completely up to you.
Kellcat is added as an accountant user in QuickBooks Online or an advisor user in Xero, the standard way owners share books with a professional. Your login is never shared, your data stays confidential, and you can remove access anytime.
Yes, one thing. To build your live dashboard, a secure reporting tool called Databox is connected to your QuickBooks or Xero. It only reads your numbers and can’t change anything in your books. After the review, it’s disconnected whenever you ask, or kept running if you decide to keep your dashboard.
Revenue, net profit and margin, gross margin by offer, cash on hand, money owed to you, and operating expenses. Together they show whether you’re growing, keeping enough of what you earn, and have the cash to back it up. Each one is looked at over the last 12 months, so you see your best and weakest months.
No problem. If you don’t send invoices or only have one offer, those numbers are adjusted or swapped for what fits your business, like results by property for real estate investors.
That’s fine. The accuracy check works with other accounting software and even well-kept spreadsheets. After you sign up, reply to the confirmation email and you’ll get simple instructions for sharing what’s needed. The live dashboard depends on your system, and you’ll know up front what’s possible.
About 5 business days after access is shared. Busier times of year may take a little longer, and you’ll know the timing up front.
No. The review finds and explains every issue, but fixing them is a separate cleanup or catch-up project. If you’d like Kellcat’s help, the proposal shows the scope and cost. Or you can hand the report to your current bookkeeper and they can work from it.
The report points out patterns, not just one-time errors, like a bank rule sending expenses to the wrong account, a missed month-end step, or owner transactions mixed in with business ones. For each one, you’ll see why it keeps happening and how to stop it. You can fix the process yourself, share it with your bookkeeper, or have Kellcat keep your books each month so the same mistakes don’t come back.
Automation is fast, but it repeats the same mistakes every month without anyone noticing, like transfers counted as income, personal spending booked as business expenses, or duplicates from connected apps. A Books & Numbers Review shows what your system is getting wrong and how to fix the rules behind it, so your numbers can be trusted again.
No. The report is yours to keep and use however you like. There are no follow-up sales pitches.
No. The Books & Numbers Review checks the accuracy of your bookkeeping and what your numbers mean for your business. Tax preparation and tax advice stay with your CPA, who will appreciate cleaner books.
